The client portal is a persistent dashboard your clients can access at any time. It shows all their onboardings, uploaded documents, and signatures in one place — not just the form they are currently filling out.
What clients see
When a client opens their portal link, they see:
All onboardings
A list of every onboarding associated with their email, including:
- Onboarding name and the template it was created from.
- Status — sent, in progress, completed, or overdue.
- Progress — percentage of required fields completed.
- Due date — if one was set.
Clients can click any onboarding to view its details or continue working on it if it is still open.
Step-by-step status
For each onboarding, the portal breaks down progress by step:
- Completed — all fields in this step are submitted and approved.
- Needs action — one or more fields were rejected and need resubmission.
- Waiting on provider — fields are submitted and awaiting your review.
- Not started — the client has not yet reached this step.
Uploaded documents
All files the client has uploaded across all onboardings are listed in one place. Clients can browse and download their own files.
Signatures
Copies of all e-signatures the client has provided, with the signer name and date visible.
Messaging
Clients can message your team from the portal. This is the same messaging system used within the onboarding form, but accessible persistently. Messages and replies carry over between the form and the portal.
Sharing the portal link
The portal link is separate from individual onboarding links. You can find it on the client's profile page and share it with them directly.
Unlike onboarding links, the portal link gives access to all current and past onboardings for that client. It is tied to the client's email address.
Branding
The portal displays your team's logo and brand color, matching the look of your onboarding forms. On Business plans with white-label enabled, all Portico branding is removed.
When to use the portal
The client portal is useful when:
- A client has multiple onboardings and needs a single place to track them.
- You want clients to access uploaded documents and signed agreements after completion.
- Clients need to message your team outside of an active onboarding form.
- You want a professional, branded hub for ongoing client communication.
The portal is read-only for completed onboardings. Clients can view their responses and downloads but cannot edit submitted data unless you reopen the onboarding.
